ChairTime ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our mobile application (available on iOS and Android), website, and related services (collectively, "the Service"). By using ChairTime, you agree to the practices described in this policy.

2. Information We Collect

We collect the following types of information:

Information you provide directly:

  • Account information — name, email address, and authentication credentials provided at sign-up via Clerk authentication.
  • Business data — appointments, services, income goals, payment links, and expense records you enter into the platform.
  • Client data — client names, phone numbers, email addresses, and hair profile notes entered by the stylist.
  • Photos and media — images uploaded for client profiles, ad creation, or other features within the app.
  • Payment information — subscription payments are processed by Stripe (web), Apple (iOS), or Google (Android). We do not directly store your credit card or payment card details.

Information collected automatically:

  • Usage data — server logs including IP address, browser type, device type, operating system, and pages visited.
  • Device information — device model, operating system version, unique device identifiers, and mobile network information.

3. How We Use Your Information

  • To operate, maintain, and provide the features and functionality of ChairTime.
  • To send transactional SMS messages to clients on behalf of stylists (appointment confirmations, reminders, and invoices).
  • To generate business reports and analytics for the stylist's own use.
  • To process subscription payments and manage your account.
  • To sync with third-party calendar services (e.g., Google Calendar) at your request.
  • To provide AI-powered features (e.g., ad creation, business insights) using Anthropic's Claude AI.
  • To communicate with you about your account, including service announcements and updates.
  • To maintain and improve the platform's performance, security, and reliability.

We do not sell your data or your clients' data to any third parties. We do not use client phone numbers for marketing purposes.

4. SMS Messaging

ChairTime uses Twilio to deliver SMS messages. Phone numbers collected by stylists are used solely to send transactional messages related to appointments booked with that stylist. These messages include:

  • Appointment confirmation messages
  • Appointment reminder messages (sent the day before)
  • Payment invoice messages
  • Direct messages sent by the stylist to a client

No mobile opt-in data is shared with third parties for marketing purposes. Recipients may opt out at any time by replying STOP to any message. To request help, reply HELP. Standard message and data rates may apply. Message frequency varies based on appointment activity.

5. Data Storage and Security

All data is stored securely in Supabase (PostgreSQL) with row-level security policies ensuring each stylist can only access their own data. Authentication is handled by Clerk. We use industry-standard encryption for data in transit (TLS/HTTPS) and at rest.

While we implement commercially reasonable security measures to protect your information, no method of electronic storage or transmission over the Internet is 100% secure. We cannot guarantee absolute security of your data.

6. Third-Party Services

ChairTime uses the following third-party services that may collect or process your data:

  • Clerk — user authentication and account management
  • Supabase — database and file storage
  • Twilio — SMS delivery
  • Stripe — payment processing (web subscriptions)
  • Apple App Store — payment processing (iOS subscriptions)
  • Google Play Store — payment processing (Android subscriptions)
  • Google Calendar — optional calendar synchronization
  • Anthropic (Claude AI) — AI-powered features
  • Vercel — application hosting

Each of these services has their own privacy policy governing their collection and use of data. We encourage you to review their respective policies.

7. App Permissions

ChairTime may request the following device permissions:

  • Camera / Photo Library — to upload photos for client profiles and ad creation.
  • Notifications — to send appointment reminders and important updates.
  • Calendar access — to sync with Google Calendar (only when you explicitly connect your calendar).

All permissions are optional and requested only when needed. You can manage permissions at any time through your device settings.

8. Push Notifications

We may send push notifications to your device for appointment reminders and important account updates. You can opt out of push notifications at any time by adjusting your device's notification settings or within the app's settings.

9. Data Retention and Deletion

We retain your data for as long as your account is active or as needed to provide you with the Service. You may request deletion of your account and all associated data at any time by:

  • Using the account deletion option within the app's Settings

Upon receiving a deletion request, we will delete your personal data and associated records within 30 days, except where we are required by law to retain certain information. Anonymized, aggregated data that cannot identify you may be retained for analytics purposes.

10. Children's Privacy

ChairTime is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected personal information from a child under 18, we will take steps to delete that information as quickly as possible. 11. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Correction — request correction of inaccurate or incomplete personal data.
  • Deletion — request deletion of your personal data.
  • Portability — request a copy of your data in a portable format.
  • Restriction — request that we limit our processing of your data.
  • Objection — object to our processing of your data in certain circumstances.

Stylists are responsible for managing client data they have entered into the platform in compliance with applicable laws. To exercise any of these rights, contact us at support@chairtime.app.

12. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • The right to know what personal information we collect, use, and disclose about you.
  • The right to request deletion of your personal information.
  • The right to opt out of the sale of your personal information. We do not sell your personal information.
  • The right to non-discrimination for exercising your privacy rights.

13. International Data Transfers

Your information may be transferred to and processed in countries other than the country in which you reside. These countries may have data protection laws that differ from those in your jurisdiction. By using ChairTime, you consent to the transfer of your information to the United States and other countries where our service providers operate.

14. Data Sharing and Disclosure

We do not sell, rent, or trade your personal information. We may share your data only in the following circumstances:

  • Service providers — with third-party vendors who help us operate the Service (listed in Section 6), under strict data processing agreements.
  • Legal requirements — when required by law, regulation, legal process, or governmental request.
  • Safety — to protect the rights, property, or safety of ChairTime, our users, or the public.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, your data may be transferred to the acquiring entity.

15. Cookies and Tracking Technologies

Our web application may use cookies and similar technologies to maintain your session, remember your preferences, and improve the Service. You can control cookies through your browser settings. The mobile app does not use cookies but may use similar local storage mechanisms for session management.

16. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by updating the date at the top of this page and, where appropriate, providing notice through the Service or via email. Your continued use of ChairTime after any changes constitutes acceptance of the updated policy.
